Inviting Users to Manage Accounts and Workspaces

The Yext platform divides users into three types: administrators, workspace owners, and members. Admins manage the Social and/or Relate platforms. A workspace represents the connection between a User and their social account(s) and/or Relate phone number within Yext. workspace Owners can set up a new workspace to manage their accounts and workspace members can manage their individual set of social media accounts and/or Relate phone number. 

Admins can send user invitations for one of the three roles. User Invitations are created and managed from the Administration view by selecting Organization > User Invitations.

Open invitations can be reviewed using the table at the bottom of the screen. From this table, you can:

  1. Copy the invitation URL to the clipboard to send via private message or SMS.
  2. Resend the invitation to the user from this screen.
  3. Delete the invitation.

1. On the User Invitations page, checkmark the box for Company Administrator. This is for any user that will be managing the Social and/or Relate deployment as well as any ongoing maintenance and support of the environment. An administrator can manage all users or a specific region of users, or can be assigned a more limited administration role based on his/her functional role (see Administration Roles). Administrators access the gray-view in Yext.

2. Select a Role. There are three Admin roles to choose from:

  • Full Access: Access to the entire Corporate Dashboard
  • Content Manager: Create content and see metrics
  • Compliance Reviewer: Resolve compliance issues

NOTE: Based on the needs and workflows of your organization, additional admin roles can be created. Please contact your Customer Success Manager to discuss next steps.

3. Type the person's email address in the Email text box.

4. Select a language from the dropdown and type an optional message. Then click Invite.

  • Language selections: Bulgarian, Czech, German, English, Spanish (Mexico), Spanish (Spain), French (Canada), French, Croatian, Hungarian, Indonesian, Italian, Japanese, Polish, Portuguese (Portugal), Romanian, Slovak, Thai (Thailand), Turkish, Chinese (Simplified Chinese), Chinese (Traditional Chinese)

To deactivate and completely remove an admin from your organization, contact the Support team at support@hearsaysystems.com

 

Inviting a Workspace Owner

A workspace may contain multiple Users and multiple social accounts and/or a Relate phone number. For example, a User may have an office assistant who is helping manage a Facebook Page and a LinkedIn Profile. This workspace would connect the two Users with the two social accounts in Social. Multiple individuals can manage a workspace dashboard or post from their connected accounts in a workspace.

1. On the User Invitations page, checkmark the box for New Workspace and select the hierarchy, in needed.

2. Type the email addresses for each person you are inviting. Send multiple invites by typing the email address on separate lines or by separating them with commas or semicolon.

3. Select a language from the dropdown and type an optional message. Then click Invite.

Inviting a Workspace Member

A workspace Member is someone who helps manage a workspace using a Yext account. Workspace members use their own login credentials, but are otherwise accessing the workspace account/dashboard and posting to the social media networks connected to the workspace.

1. On the User Invitations page, checkmark Workspace Member and select a Workspace from the dropdown menu. 

  • You can use the workspace search to search for workspaces by workspace name, reference id, or owner name.

2. Type the email address for the user.

3. Select a language from the dropdown and type an optional message. Then click Invite.

Note: The photo used to represent the user's account is created from their first social account connected to Yext. This photo does not change even if that social account is disconnected or removed from the workspace.

 

The User Invitation will be sent to the email address entered on the User Invitations page. The user will need to log into their email, select the email sent from Yext and click on the Accept Invitation button to access the workspace.

 

NOTE: workspace invitations for Yext Relate are automatically resent every 28 days to users who haven’t created their account. A system task runs daily to calculate if 28 days have passed since the last invitation was sent, and sends a new invitation email to eligible users.
