Creating and Managing Workspace Templates

Workspace Templates allow individual workspace owners and delegates to create a custom library of text message templates. Workspace Templates are only available within the workspace where they’re created and can contain variables. Published templates are available on Yext Desktop, the Mobile app, and in Salesforce Embedded Relate. Creating a template

To create a Workspace Template:

1. In the side menu, under Conversations, click My Templates.

2. In the top right, click New Template.

3. Add a unique name and template text (1600 characters maximum) in the template composer.

4. Optionally, add variables to your template text. Variables automatically fill in information about your contact, like their name or email address.

5. Click Save and Publish

Published templates are listed in the Published Templates tab. To use a template, click Use Template in a conversation window. Templates with variables show variables highlighted in green. 

Resolving a template variable error

If you added a variable to your template, but get a Missing Contact Data error when you select it in a conversation, it means that the contact is missing the piece of information that is linked to the variable. For example, if you added an email address variable to the template, but your contact is missing their email address, you will receive an error.

To resolve this, click the red text in the error to edit the contact and add the missing information. 

Draft Templates

Next to Save and Publish, click the down arrow to save the template as a draft. Then you can edit and publish it later. Draft templates can be found by going to My Templates, then selecting Draft Templates in the top menu.

Deleting Workspace Templates

To delete a Workspace Template:

  1. In the side menu, under Conversations, click My Templates.
  2. Click the delete icon in the top-right corner of the template that you would like to delete.
  3. Click Delete in the confirmation popup.

NOTE:

  • A maximum of 20 templates can be created.
  • Templates can contain URLs, but no attachments such as images or PDFs.
  • Published templates cannot be edited. If a template needs to be changed, it must first be deleted and then recreated with edited text.
  • Deleted templates cannot be viewed or retrieved.
  • Learn how to use message templates here.
  • Some organizations have not enabled Text Message Templates.
